ROLE POSITIONING AND OBJECTIVES

British American Tobacco is looking for and executive assistant who will fully support the Factory Manager and Heads of Departments in day-to-day activities

WHAT YOU WILL BE ACCOUNTABLE FOR

• Processing documents to be signed by the Factory Manager and Heads of Departments;
• Arranging business trips (ordering tickets, booking accommodation, obtaining visas, etc.) and other team internal and external meetings for the factory employees;
• Processes expense claims for the Factory Manager and Heads of Departments and employees on business trips and be a key point to any related expenses queries;
• Administration of contracts with suppliers of goods and services of the factory (creation of purchase orders, approval of invoices and acts of services provided, interaction with the Company's accounting);
• Initiating agreements and annexes to agreements in the internal contracts management system;
• Takes responsibility for the co-ordination of projects as specified by direct line manager within agreed guidelines to ensure the project is delivered: Workshops, meetings, events.
• Manages and coordinates Company's events (communication with suppliers, agenda management, etc.)
• Coordinating visitors, ordering catering for meetings/managers as required
• Plans own workload to anticipate and balance priorities to optimize output and contribute to the smooth running of the office;
• Perform written translation upon request;
• Performing other tasks upon request of the Factory Manager and Heads of Departments, aimed at supporting the activities of the Head and / or employees.

 ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

• Work experience is not mandatory (in the position of secretary / assistant would be a plus);
• Confident PC user (Word, Excel, Power Point), quick-learner;
• Fluent Ukrainian and English (both written and spoken);
• Ability to act flexibly according to the circumstances;
• Ability to multitask and prioritise tasks is essential;
• Organization and planning skills;
• Higher Education.
