Keepit is a cloud-to-cloud backup service provider. The purpose of our platform is to provide our customers with an immutable historical archive of their primary data in systems such as Microsoft 365, G Suite, Salesforce and Dynamics, to protect them from internal and external threats: human errors, ransomware, simple accidents, etc.

How would you help us cultivate an engaging work atmosphere in our office?- Keepit is looking for an Office Assistant to join our team in Lviv, Ukraine

KEEPIT is a fast-growing scale-up within the field of IT and data protection. Our mission is to help companies around the world protect their SaaS cloud data. Our team is both academically and culturally diverse, and we have 30+ nationalities working together to promote trust and security in a world impacted by rapid digital transformation.

We need to be able to continuously learn from each other to break down silos, building the best possible software and service for our customers. 

As an Office Assistant at Keepit you will:

  • Manage the daily office needs and improvements.
  • Be responsible for the management of the building, which includes but not limited to managing repairs, tenant issues, etc.
  • Create and follow the budgets for technical purchases, office furniture, kitchen supplies, office services etc.
  • Arrange and execute company office events such as social gathering and parties, business trip bookings, conferences etc.
  • Supervise processes around improving the office environment such as meeting room equipment setup, decorations and general seating arrangements.
  • Assist employees with issues around insurance.
  • Participate as needed in special department projects.

Required skills/experience:

  • Intermediate written and spoken English is a must.
  • Solid understanding of general computer use and regular Office suite programs such as Word, Excel and PowerPoint.
  • Previous relevant experience with coordination of resources.
  • Responsible approach and efficiency working with finance and reporting.
  • Being a nice and easy-going person with a positive attitude.
  • Being a detail-oriented person.
  • Client-oriented approach.


Would be a plus:

  • Professional experience in hotel, restaurant or another service business.
  • Experience dealing with contracts and/or accounting.
  • Modern technologies and IT understanding.

1. Organizational skills: As an Office Assistant, you will help our existing HR team and will be a part of events, happening in the organization, you will organize office activities and will involve other parties in it. And being able to be organized and high-performing, team-player, sharing your ideas and implementing them is important for us.

2. Office administration: As an Office Assistant you will deal with documents and subcontractors, who provide us with the service, you will work with finance and reporting. And it is crucial for us so that you are a true details-oriented person, with an eye on the perfect running of the documentation.

Another big part of this role is making the office a cosy place to be for all Keepers. You will have to be independent and proactive here, creative and caring. 

3. Interdisciplinary collaboration: We are looking for someone who knows how to collaborate with everyone in the organization.

You will also have to deal with a lot of external contractors, realtors, landlords, legal partners etc.

Internally you will be working with a team of 7 people in Ukraine, including the HR Coordinator, our Recruiters, and our colleagues in Copenhagen. Furthermore, collaboration with our team in Copenhagen is a big part of the job, so you must be comfortable with virtual collaboration. 

4. Client-oriented and positive environment: We are passionate about our people and what they do to make our product the best. And we are expecting our new Office Assistant to be as in love with Keepers, as we all love them and provide them with the best service possible and even better. We also care about creating a great environment so you will have to cultivate it and make it as friendly and positive as possible. 

5. Languages: We use English as our preferred language and being confident in English both written and spoken, is essential for this role. For communication with the local team, it is crucial to know Ukrainian.

The position: Full-Time occupation (40 hours per week).

Salary: The compensation package is market competitive and will be negotiated with the successful candidate.
