Office Specialist for Lviv office

Project Overview:

Office Specialist is responsible for ensuring the smooth and efficient running of all aspects of the office and creating a comfortable and productive office environment. Communicates with external vendors, setups delivery to office, arranges payments, deals with daily contractors’ needs and cooperates with other company departments providing full administrative support.

Responsibilities:

• Maintain a happy working lively environment;
• Overseeing all everyday functions concerning the office;
• Works with incoming and outgoing mail correspondence and document workflow (cooperation with courier services; delivery of correspondence, sort of incoming mails);
• Cooperates with other office functions and services (travel and hospitality, front desk, facility, technical support, cleaning);
• Organizes the purchase of office goods, negotiates with contractors and other service providers;
• Maintains food delivery service for employees;
• Office decoration tasks;
• Data management and filing, screening phone calls, inquiries, and requests, meeting and greeting visitors, making appointments;
• Controls over the meeting rooms maintenance;
• Helps in organization of meetings, trainings and webinars;
• Supports customers/business visits to the office;
• Prepares office access badges for newcomers, contractors and visitors;
• Liaising and coordinating with suppliers;
• PA duties for the senior management team.

Requirements:

• At least one year on a similar position;
• Intermediate level of English (in written and spoken English);
• Excellent organization and time management skills;
• Great communication and interpersonal skills (written/spoken/live);
• Fantastic team player;
• Self-sufficient;
• Demonstrates initiative to get a job done.
