Principal Accountabilities:
- Office management
- Contact with landlord on any issues, regarding leasing terms and building's maintenance (water/ electricity /etc),
- Current office maintenance issues (in house handyman/external service providers)
- Furniture. Maintenance / rent/ purchasing
- Office supplies/ Stationary /paper/ sanitary/ food / water / etc
- Supervision. Receptionists / Drivers / Cleaning stuff / Florist/ Courier
- Taxi / transfer company
- Fleet Management
- Safety driving courses on yearly bases / Safety driving courses for new comers
- Control of mileage and fuel consumption on monthly bases
- Training / instructions for new hired car users
- Acceptance and car delivery during car exchange process
- Plan for fleet upgrade
- Company cars - Proof of repair works, tires, Insurance
- Leasing contracts - Budgets, Planning and analyzing of costs, Insurance cases, Monitoring of proper, contracts' execution, Monthly proof of invoices, Reimbursements, Proof of extra costs
- Business Travel
- Contracts with prefer suppliers, Travel invoices verification / processing, Compliance of Travel, policy, Russian visitors support (invitations/ set of dox to customs), Support of visa issuing process for all incoming foreigners who required Ukr visa.
- Contact and processing dox from Associations (Amcham/ EBA)
- Documents flow
- Sponsorships/ membership
- Verifying all invoices regarding fleet (leasing/ parking/ car wash/ etc)
- Collecting and submitting all relevant to payments dox to accounting
- Contracts for all kind of admin/fleet services both existing prolongations/negotiations and new
- Verifying business trips expenses for my reports
- Events
- Organizing all types of events business meetings or reception / corporative parties
- Summer day / Ny Party / Kids day /woman day
- Ny gifts to all employees
- Recognition gifts and diplomas
- Creation of friendly antimother in the office
Education, Experience, Skills:
Minimum Required Qualifications
- Education: University degree
- Languages: Fluent English spoken and written.
- Professional Experience:
- 5+ years of professional experience and min.
- Proven management experience, together with a good record of achieving targets.
- Substantial development and management know-how with proven track record.
- Business partner experience and capacity.
- Experience and capacity of understanding complex international organisations, business
Environment and strategies.
- Project management experience and capacity.
- Change management experience and know how.
- Knowledge of business and management principles involved in strategic planning, resource
allocation, human resources modelling, leadership technique, production methods, and coordination
of people and resources.
- Excellent negotiation skills.
Interpersonal Skills:
