RECEPTIONIST POSITION 

IN MAJOR INTERNATIONAL CORPORATE ACCOUNT OFFICE

IRES (Integrated Facility Management Provider) is looking for a new colleague to become a valuable part of IRES Facility Management Team at our corporate client office space. 

Legal full time employment is with IRES. Actual constant place of work in the office of our international client, located in professional Business Center Leonardo at str. B.Khmelnytskoho, 17\52a, nearby metro station Teatralna or Zoloti Vorota.

We welcome smart, energetic, Yonge and open face new friend to our team for long term mutual work.  Our new colleague will operate as receptionist within normal working hours (9.00-18.00). 

Knowledge of English is the must (intermediate/advanced written and spoken level): telephone conversations, face to face meetings, translation of the texts, letters. We’ll request a colleague to present the knowledge of English during interview process.

Role

General

  • Establish and maintain effective working relationships with Mastercard staff. Maintain constant and positive communications with all Mastercard employees and vendors as well with landlord. 
  • Be familiar with Mastercard policies. 
  • Establish an outline and timetable for completion of routine duties carried out daily. 
  • Perform general administrative duties to support day-to-day operations and Management Team meetings. Responsibilities include facilities, suppliers’ management, scheduling of meetings, travel arrangements, fleet management and expense reporting, calendar management, ordering supplies and maintaining department records.

Provide full administrative support for General manager 

Building Services

  • Undertake a weekly check of the office space, record findings, contacts with landlord.

Reception Duties

  • Manage Office Facility (i.e. reception, kitchens, meeting rooms, storage area’s and recycling area’s), to be kept clean and tidy at all times;
  • Manage the post/courier/packages to the appropriate mailbox or couriers each day as necessary;
  • Handle calls;
  • Scans & copies;
  • Make travel arrangements, both domestic and international, visa applications/processing and other travel requirements for Team; 
  • Stock management, ordering and delivery of merchandize products.
  • Fleet issues support (ALD, fleet-manager contacting)

Business Assistant Duties

  • Provide full administrative support for General Manager: travel arrangements, expense reporting, calendar management
  • Fleet issues support (ALD, fleet-manager contacting)
  • Prepare correspondence, reports, presentations or other assigned documentation;
  • Schedule meetings, arrange conferences and ensure all meeting support is appropriately coordinated;
  • Relationship with all contracted suppliers and vendors;
  • Manage department purchases, ensuring purchases are made in alignment with budget and in compliance with related finance policies
  • Administer programs, projects or processes specific to the operating unit served, and maintain spreadsheets or databases to monitor organizational information
  • Prepare Agenda cover memos and coordinate, manage, and load supporting materials for telephonic and in person Regional meetings; 
  • Relationship with Global Security (intrusion system, badges etc.);
  • Assist with miscellaneous projects as needed.

  • Experience in similar roles
  • Proficient with Microsoft Office Suite
  • Professional appearance
  • Solid communication skills both written and verbal 
  • Ukrainian, Russian, English language fluent both written and verbal
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
  • High school degree

Official employment;

  • Provision of necessary office equipment to perform functions;
  • Working hours from 9-00 to 18-00, five-day working week.
  • Salary UAH 20400 (clean on hand, after paying all taxes). Annual bonus in the amount of monthly salary
  • Location of office at Teatralna or Zoloti Vorota
