AXDRAFT team is looking for that “go-to” person who can help with small and big administrative issues. The person who will eventually know almost everything regarding team and office function, or know where and how to find answers to these questions. The person who likes to make space around themselves comfortable.

You’ll never even notice how eventually you’ll become the most important person in the team.


Responsibilities:

  • Manage all the communication regarding uninterrupted office function (BC administration, cleaning, security, suppliers, etc);

  • Order office supplies, schedule snacks and water deliveries, manage invoice requests and approvals with suppliers;

  • Control and manage contracts with the suppliers (prolongations, terminations etc);

  • Search for new vendors if needed;

  • Work with basic accounting documents (invoices, acceptance acts) with the help of the AXDRAFT’s accountant;

  • Be the first responder for all facilities and equipment issues;

  • Help the team with clients upon request (send an email, communicate regarding billing matters, scan the contract, etc);

  • Provide short info to US legal team regarding new contracts with clients;

  • Manage regular team-building events (small monthly pizza/movie/etc party and a couple of Big parties a few times per year);

  • Help internal team managers with onboarding/offboarding;

  • Assist team members upon request regarding office function;

  • Communicate with an HR department in the US office regarding new hires.


Skills/Qualifications:

  • Excellent written and verbal communication skills;

  • Exceptional organizational skills and ability to multi-task;

  • Ability to work in a fast-paced environment with little supervision;

  • Demonstrated ability to maintain confidentiality while working with sensitive information;

  • Demonstrated proficiency in Google Suite and Outlook;

  • Proficiency with Apple MacBook systems is preferred (for your comfort).


Would be a plus:

  • Experience in an administrative assistant role;

  • Upper-Intermediate English proficiency level and higher.
